Create an RFI within Autodesk Build and customize the RFI workflow.
Transcript
00:03
In Autodesk Build, a request for information, or RFI, is a formal process to obtain clarification
00:11
or additional information about a project, from architects, engineers, clients, or other stakeholders.
00:18
RFIs help resolve questions or ambiguities, to help ensure that work can proceed according to project specifications and plans.
00:27
As an example, a contractor may submit an RFI to the project architect
00:33
for clarification on the type of material to be used for a specific section of a building.
00:39
The architect can then respond with the necessary details, allowing the contractor to proceed with the work as intended.
00:47
As an Administrator, you can use the RFI tool settings to help manage and customize the RFI workflow.
00:55
To access these features, begin in the Autodesk Construction Cloud with your project open and the Build module selected in the product picker.
01:04
In the Navigation panel, select RFIs.
01:09
Then, expand Settings and select Permissions.
01:14
Now, you can use the Permissions, RFI Types, Custom fields, and Advanced Settings tabs to adjust your RFI workflow.
01:24
The Permissions tab allows you to regulate who can view, create, edit, or manage RFIs within a project.
01:32
The structure of these permission levels helps to enable secure and efficient collaboration.
01:39
RFI types determine the RFI workflow used to manage the lifecycle of the RFI.
01:46
Several RFI types can exist in a project, allowing flexibility in how RFIs are routed and managed.
01:54
The RFI is prepopulated with a default workflow type, as shown here.
01:60
Each RFI workflow type includes roles for the Creator, Manager, and Reviewer.
02:07
There is also a workflow type that includes a Coordinator role.
02:12
When used, a Coordinator provides the official response for the RFI.
02:18
Use Custom fields to track additional information for each RFI, depending on project needs.
02:25
Custom fields can include preset values for quick completion during RFI creation.
02:32
An added custom RFI field can be activated or deleted in RFI Settings.
02:38
Advanced RFI Settings allow you to control specific functionality of the RFI workflow,
02:44
including the ability to reopen closed RFIs, control the visibility of open or closed RFIs,
02:51
edit the official response, and include the RFI report links in email notifications.
02:58
The RFIs tool enables the creation and processing, exporting, and searching and filtering of RFIs.
03:07
To initiate a formal information request, click Create RFI, complete the appropriate settings, and then click Create.
03:18
To process the RFI, click Submit for Review, adjust the necessary settings, and then click Submit.
03:26
Once all reviewers have clicked Submit response and responded,
03:30
the RFI can be closed, and the response distributed to all associated RFI members.
03:38
In the RFIs tool, you can also click Export for the selected RFI to create a report for project documentation.
03:46
Select the desired settings in the Export RFI panel, then click Run report.
03:53
Additionally, you can search and filter RFIs to locate relevant information.
03:59
Several actions in the RFI workflow generate email notifications for RFI participants,
04:06
as shown in the table here, providing greater awareness as the RFI progresses.
04:12
If external collaborators are involved, you can give these non-members access using their email address,
04:19
allowing them to participate in the Ball in Court, Reviewer, or Watcher roles.
04:25
In doing so, these participants can respond with an email that is captured in the RFI tool.
04:32
As you have seen, the RFIs tool in Autodesk Build enables robust information management for smooth project execution.
