DEEPAK MAINI: RFIs are an integral part
00:04
of any construction process.
00:06
Although by using the BIM or digital engineering technology,
00:09
we have reduced the number of RFIs generated on a project.
00:13
However, it's still an integral part of the project.
00:16
Welcome to the first objective of this course.
00:18
In this objective, we are going to learn
00:20
how we can create RFIs on site using the BIM 360 mobile app.
00:24
My name is Deepak Maini.
00:27
Now, before I jump onto my BIM 360 mobile app,
00:30
I want to make sure that we understand that generating
00:33
RFI is a part of Project Management service, which,
00:37
again, is a part of BIM
00:41
And once you have activated the Project Management service,
00:44
you can then activate the RFI workflows.
00:47
Let me show you this on my browser window.
00:50
All right, so as you can see, I'm logged in as project admin.
00:53
And on the services page, you can
00:54
see that I've activated the project management
00:56
service on this project.
00:58
And again, project management is a part of BIM 360
01:01
billed subscription.
01:03
When I click on Project Management on the left browser,
01:07
you can see here that I've activated an RFI workflow.
01:10
In this workflow, there's a creator who creates the RFI.
01:14
And I've given everybody access to creating RFIs.
01:17
Now, once the RFI is created, it goes
01:19
to the manager, then reviewer, and then back
01:21
to the creator via manager.
01:23
If I click on view extended workflow,
01:27
so this is how the RFI process on this project will work.
01:31
Let me now jump onto my BIM 360 mobile app,
01:34
and show you the process of creating RFIs.
01:38
OK, if this user taps on the RFI option on the bottom toolbar,
01:44
they can see that they've got a couple of RFIs.
01:46
One's already closed, and one is open.
01:49
Now, this user has gone on site to install
01:52
some mechanical equipment, and they've got some problem
01:55
with that installation.
01:56
So they'll go into the mechanical model,
01:60
and now the problem that they've got
02:02
is the installation of this mechanical equipment.
02:05
And for that, they can generate an RFI.
02:07
I'll tap on RFI on the bottom toolbar,
02:10
and now it says place a new RFI.
02:12
I'll tap on this equipment here.
02:15
And now, they are saying new RFI created.
02:17
Under status, because I'm a creator,
02:19
I can only leave it as draft.
02:21
So only myself and the project admin can view it.
02:24
Or I can have it as I submitted RFI.
02:26
I'll have it as submitted RFI in this case.
02:29
I'll add a title here.
02:31
Servicing area details missing.
02:34
And a question.
02:35
I can add the question that I want an answer to.
02:39
How much servicing area is required as a minimum?
02:43
And because I'm an experienced installer,
02:46
I can also suggest an answer here.
02:48
So let's say two feet minimum.
02:51
I can now tap on assign to, and I
02:55
can see here that the only person I can assign to
02:58
is the manager.
02:60
I'll tap on their name.
03:02
I can add the location details here.
03:04
So this is on level two.
03:06
Due date.
03:07
I would prefer an answer today, but I can go and tap
03:10
on any other due date.
03:12
I can then go and say co-reviewer or distribution
03:15
list if I want somebody else to review.
03:17
But in this case, I'm only going to submit it to the manager.
03:19
Also, if I want, I can tap on the camera button,
03:22
and I can take a photograph and assign it to the RFI.
03:26
In this case, I'm going to take a photograph
03:28
of a beautiful Sydney afternoon, and I'm
03:31
going to attach it to the RFI.
03:34
With this, I'm going to tap on create.
03:37
The RFI is created, and the manager straightaway
03:40
gets a notification that there's an RFI for them to look at.
03:43
So if I jump onto the browser window now,
03:47
I'm logged into the project management module.
03:50
And I'm in the RFIs tab, I can see that I've
03:53
got a submitted RFI here.
03:55
I'll click on the submitted RFI.
03:58
I can now see all the details.
03:59
I can look at the attachment and see the photograph as well.
04:03
So if I'm happy that this is a proper RFI that we
04:06
need an answer to, I can now click on submit to reviewer.
04:10
Alternatively, I can also close this
04:13
saying that, no, we don't need any other information
04:15
about that.
04:16
But in this case, I'm going to click on submit to a reviewer.
04:20
I can add an RFI number here so PM102 in this case.
04:24
The reviewer that it will be submitted to is this user here.
04:27
And if you want, you can add a co-reviewer as well.
04:30
We need an answer to this by this date here.
04:33
And if I want, I can add a distribution list.
04:35
In the distribution list, we can see all the members
04:38
on this project.
04:39
I don't want a distribution list.
04:41
I'm going to click on submit.
04:42
As soon as I click on submit, now
04:45
the reviewer gets a notification straight away
04:48
that there's an RFI that they need to look at.
04:50
Now, in this case, I am the reviewer as well.
04:53
So I can simply click on this RFI here.
04:57
And then I can provide the missing information.
04:60
In this case, I'm going to go into the attachments tab,
05:03
and I'm going to click on the browse option here.
05:05
Upload from my computer.
05:06
And I'll upload the spec sheet which
05:08
has got all the details about the servicing area.
05:12
Now that the file is attached, I can
05:15
submit an official response.
05:17
Spec sheet attached.
05:20
And submit.
05:21
As soon as I click submit, the status of this RFI
05:25
will change from open to answered.
05:28
You can see the change here.
05:31
And because, again, I'm the manager,
05:32
it is returned back to me.
05:34
When I click on the answered RFI,
05:37
I can now look at the official response.
05:41
I can see, yep, the attached file has got all the details.
05:44
I can now close this RFI and distribute
05:47
so the person who created the RFI is notified straight away.
05:52
Alternatively, if I don't have all the information,
05:55
I can actually return it to the reviewer.
05:58
In this case, I'm going to close and distribute
05:60
because I'm happy with the information provided.
06:02
All the info is attached.
06:04
I can now click on close RFI.
06:07
As soon as I do that, now this RFI is closed.
06:10
And the user who created the RFI straight
06:12
away gets the notification.
06:14
Let me now jump onto the BIM 360 mobile app
06:17
to see what happens there.
06:19
So this is my iPad now.
06:20
If I tap on RFIs down the bottom,
06:23
it's currently showing me my RFI as submitted.
06:26
I'm going to drag this area down to refresh it,
06:30
and I can now see that my RFI is set to closed.
06:33
I can tap on this closed RFI.
06:35
I can tap on activity to look at the official response.
06:41
So I can see here that all the information is attached.
06:45
And I can tap on this PDF file to look
06:47
at the attached information.
06:49
I can now go through this information
06:51
to find out pretty much whatever I needed for my installation.
06:56
So that's where all this missing information is.
06:58
I've got all the information here,
06:60
and I can continue with my installation.
07:03
So this is how we create our files on site using the BIM 360
07:07
mobile app.
07:08
It goes through the entire RFI workflow, which in our case,
07:12
was that all the users were allowed to create RFIs.
07:15
They then go to the manager.
07:17
Managers then open the RFI and send to the reviewers.
07:20
Reviewers then answered the RFIs and then returned
07:23
to the managers.
07:24
And the managers, if they're happy with the answer,
07:27
they can then close the RFI.
07:29
So that's the process we went through in this case.
07:31
I hope you enjoyed it.
07:32
I'll see you in the next objective.
07:34
Cheers.
